This policy explains how Vibe.Exe collects, uses and protects information when you visit our website or use our products and services, including Business OS, VibeCall, VibePOS, VibeRent, SehatDesk, plotXchange, VibeDivider, Vibe Execute, VibeOdo and Helper.pk.

Information you give us
When you message us, ask for a demo, sign up for a product or contact support, we may collect:
- Your name, phone number, WhatsApp number and email address
- Your business name, industry and location
- What you tell us about your requirements
- Billing and payment details when you buy a product or service
Information collected automatically
- Device information such as IP address, browser type and operating system
- Pages visited, links clicked and how you use the website
- Logs, diagnostics and cookies or similar technologies
Business data inside our products
When your business uses our products, we process data that your business enters or connects. Depending on the product, this can include:
- Customer messages and conversation history from WhatsApp, Instagram, Messenger, TikTok, web chat and email (Business OS)
- Call recordings and transcripts (VibeCall)
- Sales, stock, expenses, suppliers and customer ledgers (VibePOS)
- Customer identity documents such as CNIC scans, bookings and vehicle records (VibeRent)
- Patient records, prescriptions, appointments and lab results (SehatDesk)
- Property listings and buyer requirements (plotXchange)
- Documents, files and knowledge you upload to train an AI agent
02Your business data belongs to your business
For data inside our products, your business is responsible for the data and decides how it is used. Vibe.Exe processes it on your behalf, only to provide and support the service. Your business is responsible for having a lawful basis and any consent needed to collect it, especially sensitive data such as identity documents and health records.
We do not sell business data, and we do not use one customer’s data to serve another customer.
03How we use information
- To provide the service: run, maintain, back up and support the products you use
- To answer you: reply to enquiries and send quotes, onboarding and support messages
- To power AI features: let AI agents answer from your own knowledge base, summarize conversations and send reports you ask for
- To improve: understand how the website and products are used, using aggregated or anonymized data where possible
- To keep things secure: detect, prevent and respond to fraud, abuse and technical problems
- To meet the law: keep records required for tax, accounting and legal obligations
04AI and third-party AI providers
Some features use AI models, including models from third-party providers. When they do:
- We send only the data the feature needs to produce its answer
- Custom models and knowledge bases built for your business are used only for your business
- Data is kept separate between customers
- Third-party providers process data under their own terms and privacy policies
AI output can be wrong. Our products are designed so people can review what AI agents say and do.
06Data security
We use security measures suited to each deployment, which may include:
- Encryption in transit and, where configured, at rest
- Access controls, user roles and authentication
- Activity logs, backups (including Google Drive backup for local systems) and monitoring
No system connected to the internet is completely secure, so we cannot guarantee absolute security.
07Data retention
- Account information is kept while your account is active
- Business data is kept for the length of your subscription or agreement, then deleted or returned as agreed
- Financial and transaction records are kept as long as tax and accounting law requires
- Anonymized, aggregated analytics may be kept longer
08Your rights
Depending on where you live, you may have the right to:
- Access a copy of your personal information
- Correct information that is wrong
- Ask us to delete your information
- Ask for your data in a portable format
- Object to or limit some processing
- Stop marketing messages at any time
Email privacy@vibeexe.com to use these rights. If your information is held inside a business that uses our products, such as a clinic or a shop, please contact that business first; we will help them respond.
10International transfers
We operate in Pakistan, Kuwait and Saudi Arabia, and our service providers may process data in other countries. When data moves between countries, we take reasonable steps to protect it as this policy describes.
11Children
Our website and products are not meant for children under 16, and we do not knowingly collect their information. If you believe a child has given us information, contact us and we will delete it.
12Changes to this policy
We may update this policy. When we do, we will change the date at the top of this page, and for significant changes we will tell customers directly.
